Pride in the Sky Community Group Exhibitor Signup
All community groups present for Pride In The Sky must submit an application using the form below and receive written and/or email confirmation from Big Gay Hudson Valley before the day of the event in order to be a Community Group exhibitor at Pride in the Sky.
Registration as a community group during Pride in the Sky 2026 is free. To quality for participation during the event:
- Your organization must have a mission statement that promotes the betterment of the LGBTQ+ community in the Hudson Valley
- Your organization must have an established presence (website or physical space) and track record (produced events, public meetings, etc) of executing on your mission
- Your organization doesn’t have to be a nonprofit but space is limited and 501(c)(3) organizations will be given preference should applications exceed capacity
- Your organization must be able to agree to and fulfill all of the Terms & Conditions listed below
All submissions to exhibit must be received by Friday May 15, 2026. All applicants will be notified of their status on or before Monday May 18, 2026.
Terms & Conditions
All groups/vendors participating in public festivals at the Walkway Over the Hudson are subject to the following terms & conditions.
Salable goods – If you sell any goods (taxable or not), you must provide a COI insuring the host venue (details to follow if accepted as a vendor). If your goods are taxable, you must have a copy of the New York State Certificate to Collect Sales and Use Tax on file with you during the event. It is strictly your responsibility for all New York State Sales tax reporting.
- Community Groups are allowed within their booth spaces to offer free premiums or have a free drawing for a gift certificate or gift basket.
- Community Groups are encouraged to activate their members and volunteers, adding activity and energy to the happenings on the Walkway Over The Hudson during the Pride In The Sky event.
Event Setup & Operation
- Each community group is responsible for providing any tents, tables, table coverings or chairs for use during their exhibition time.
- Community groups will be able to start setting up their exhibition at 1:30p EST on the day of the event. All setup must be complete by 2:45p EST for a 3:00p EST event start.
- Each community group exhibition must remain staffed until at least 6:30p EST on the day of the event.
- To support setup & breakdown, vehicles are not be permitted on the parks on either side of the Walkway but carts, wagons and hand trucks can be brought on at any time.
- Electricity and running water are not available at any community group exhibition spaces.
- Event organizers reserve the right at their sole discretion to ask community group exhibitors to remove any products that could possibly be deemed offensive in any way.
Release & Hold Harmless
By submitting an application as a community group exhibitor at Pride in the Sky, all organizations will indemnify and hold harmless The Poughkeepsie-Highland Railroad Bridge Co., Inc. dba Walkway Over The Hudson State Historic Park and the People of the State of New York; The Hudson Valley Rail Trail; Town of Lloyd, and New York State Parks; their officers, directors, partners, agents, members, and employees, subcontracted staff members, family members and friends assisting the event; Mirepoix Enterprises, LLC dba Big Gay Hudson Valley from all claims arising from any act or personal property sustained by the organization.
